The pandemic has led many business owners to look at their leases. They may decrease due to the fact that a majority of staff work remotely. Or increase their square footage to take into account social distancing. Regardless of the motive, moving an office or company can be a big task and requires extensive preparation. When you follow this office relocation checklist and plan ahead for each step, you are sure to have a more seamless and successful transition.

Checklist for office relocation: Six months in advance.

  • Review your lease. Look at the fine print to make sure you are not missing objects or clauses that you originally wrote on (such as patching holes and paint) and that you are on your way to the correct move-out date.
  • Communicate your plan. Tell your landlord that you will not renew your lease and alert your team of your upcoming plans.
  • Make a planning team. Select a team to monitor the move. They can take the lead in logistics, ensure that the files are backed up properly, act as pointers for your team and movers and see the process from start to finish.
  • Safe movers. Since you probably have large office furniture, it may be a good idea to let movers go through your property before making a quote. Book them early so you do not get stuck.
  • Make a moving budget. The move comes with hidden expenses. Set a budget in advance and work within it so that you do not burden your business further.

Checklist for office relocation: Three months in advance.

  • Warn suppliers and customers about your move. Now is a good time to tell people outside your organization that you are moving. Enter your new office address, contact information and your plan for any service interruptions they may experience.
  • Map the new space. Get the floor plan and dimensions of the new space so you can plan out where things will go when they arrive. Decide where employees should sit, where they should park, how the storage should be laid out, etc.
  • Make an inventory list. Go through your office to write a list of equipment you currently have and what additional items you need in the new space.
  • Warn your insurance agent. It is important to announce your move to your local agent, so that your contact information is current and the coverage follows you to the new location. Your agent will notify you if you need to adjust your insurance or coverage, as well as if you need a moving insurance.
  • Back up files and documents. To protect the sensitive information of your customers and your company, back up all files before you move.

Checklist for office relocation: One month in advance.

  • Buy moving materials. Add drawers, tape and trash so that team members can pack up their spaces and you can pack up the office.
  • Create excitement around the move. Do not let employee morale take a dip during this time. Create excitement around the new location, the new floor plan you have designed, nearby restaurants and more. Keeping your team happy during the move makes the process even smoother.
  • Arrange with telephone and internet service. The last thing you want after your move is a break in service. Work in advance to get your phone and internet configured before you arrive. Also note to cancel the internet, electricity and gas on your existing property.

Checklist for office relocation: One to two weeks in advance.

  • Confirm, confirm, confirm. Make sure your movers have the correct date and time of arrival. Double check that the phone and internet service will be up and running in your new location. Have your planning team put the final details in place.
  • Update your material. Prepare in advance to update your Google My Business information, business cards, email signatures, social media, website, print materials and more.

Checklist for office relocation: Relocation day.

  • Make the environment comfortable. Arrange to have the air conditioning or heating on, if applicable.
  • Add snacks and refreshments. Increase morale with water, snacks or lunch on the day of moving. Just make sure you have incorporated these expenses into your budget.
